A ready-to-use IT asset inventory workbook for small teams — an asset register tuned for laptops, monitors, licenses, and network gear, plus a maintenance log, check-out log, and dashboard. Works in Excel and Google Sheets.

An IT asset inventory template is a ready-made Excel or Google Sheets file for recording every device, license, and piece of network gear your team owns — who holds each one, what it cost, when the warranty or renewal is due, and where it sits right now. You get a working asset register, maintenance log, check-out log, and dashboard without building formulas from scratch.
Use it to list each asset with its category, serial number, assignee, location, purchase date, and status; log services and check-outs; and let the dashboard total everything for you. The same file opens in Excel (.xlsx) and Google Sheets. It is the same proven workbook thousands of teams already run, set up here for IT assets — laptops, desktops, monitors, peripherals, software licenses, and the servers and network devices that rarely make it onto a spreadsheet.
For larger machines and facility equipment, use the equipment inventory template; for portable field tools that move between crews, the tool inventory template; to log repairs and scheduled service on their own, the maintenance log template; and for stock and consumables you reorder, see inventory management.
Built for teams up to 50 assets — set it up for your estate and start tracking today.
Laptops, monitors, peripherals, and licenses — know who has what and what renews when.
One register per client for hardware and software, ready when an audit or handover lands.
Get off scattered spreadsheets early — track devices from the first hire, not the first audit.
Student and staff devices, lab machines, AV gear — with check-out logs per room or department.
Track gear sitting in people’s homes: who holds it, since when, and what comes back at offboarding.
A complete device list with owners and change notes — the evidence a SOC 2 or ISO 27001 review opens with.
From form to tracked assets in under 5 minutes.
Share your email for instant access — no credit card, no signup hoops.
We send the download link and a Google Sheets copy-me URL right away.
Copy to your Google Drive, or download the .xlsx for Excel.
Add your devices and licenses, explore the dashboard, and run your first count.
The template is a great start. Once your estate grows, a cloud platform pays off.

Everything you need to know about the free IT asset inventory template
Yes — no hidden costs, no subscription, no card required. Fill out the form and you get instant access to the Excel and Google Sheets versions.
Both. Add software licenses and cloud or SaaS subscriptions as their own rows with a renewal date and seat count, right alongside the hardware. A good inventory tracks everything you own or pay for, not only what you can physically touch.
It gives you the starting artifact an auditor asks for — a complete device list with owners. What a spreadsheet cannot produce is an automatic, tamper-evident change history; auditors increasingly want that. For a small estate the template is enough to pass; past a certain size, a system with a real audit log like UNIO24 saves the week-long scramble.
At minimum, per asset: a unique asset ID or tag, category, make/model, serial number, purchase date and cost, warranty or license expiry, current assignee and location, status, and a last-verified date. For software, add seat count and renewal date; for networked hardware, add IP or MAC and a last-seen note. This template ships with all of those columns pre-built in the Asset Register sheet.
It is the same proven workbook, set up here for IT. The sheets and formulas are identical; the difference is emphasis — the examples and fields lean toward laptops, licenses, and network gear rather than tools or furniture. If you track a mix, one file handles all of it.
Usually around 50 assets, or the moment a second person needs to edit the record, or when manual entry starts drifting out of date. Past that you feel the missing pieces most: no automated discovery, no renewal alerts, no mobile scanning, no reliable audit trail. That is the point most teams move to a cloud tool.
