Most companies treat the annual asset audit as a project nobody wants to start. The bigger and more distributed the team, the worse it gets: multi-office, multi-branch, half the workforce remote, contractors and temps mixed in. Before a single asset gets verified, the audit lead spends days assembling the master list: who has what, who got what when, who works from which office, who hasn't come in for a quarter. Then someone walks the floor, desk by desk, branch by branch, marking each asset on a paper checklist or punching it into an app. By the time it's all reconciled, three weeks have passed. Three weeks that could have been spent on actual work. But there's a faster way.
UNIO24 already tracks every asset issued to or returned by each employee. The master list the old audit took days to build is the one that's already current. No pre-audit data scramble.
The person responsible for the audit opens UNIO24, creates a new audit, and selects 'self-service' as the mode. The system queues invitations to every employee who has assets assigned.
The work email each employee already uses gets the invitation. The link opens directly to the list of assets currently assigned to them, nothing more, nothing less.
For each asset, the employee marks present or missing, adds a quick photo or note if needed, and answers a few system-suggested questions. Most employees finish in 10–15 minutes. They don't have many assets to begin with.
Once the deadline passes, UNIO24 rolls up every employee's response into a single register. The audit lead sees the consolidated view or drills into any individual employee. The audit is finished. Same shift.
Self-Service does not mean unlocked. Each invitation is a single-use link bound to one work email. The employee verifies with an OTP code before the asset list opens. Links expire on a configurable window. The employee sees only the assets assigned to them, not the full inventory. Every present / missing tap and every free-text note carries the employee's identity and timestamp into the audit trail. The full session record is the kind of evidence finance and internal audit can hand to an external reviewer without a half-day of cleanup.
While employees count, the audit lead watches one dashboard. Per-person progress, items completed, items still open, items flagged. Once the audit completes, UNIO24 shows every asset that was verified, alongside any missing or surplus.
