Free Crane Inspection Checklist for Excel

A pre-shift checklist for each crane or hoist, a log that keeps a failed crane out of service until it's fixed, and a register that tracks the monthly and the periodic or annual inspection. Works in Excel and Google Sheets.

What a crane inspection checklist has to cover

Crane inspections come in layers, and OSHA sets them in two places. For overhead and gantry cranes, 1910.179(j) calls for frequent inspections at daily to monthly intervals and periodic inspections every 1 to 12 months, depending on how hard the crane works, and asks for a monthly certification record on hooks and hoist chains. For cranes in construction, 1926.1412 calls for an inspection every shift, a documented monthly inspection, and an annual comprehensive inspection by a qualified person.

The Pre-Shift Checklist tab prints one sheet per crane per week, with a column for each day:

  • Before power-on: hook for cracks, twist, or an opened throat, and a latch that closes; wire rope for broken wires, kinks, crushing, or birdcaging; hoist chain for stretched or gouged links; load block and sheaves; structure for cracked welds and loose bolts; leaks; pendant labels and cord; the capacity marking; a clear area and runway.
  • Power on, no load: every motion answers its control, the upper limit switch stops the hook, hoist and travel brakes hold, horn, lights and emergency stop work. Mobile cranes add outriggers, tires or tracks, the load chart, and the load moment indicator.

A crane with a defect that affects safe operation comes out of service and is tagged until it's repaired.

Keeping the monthly and annual inspections from slipping

The pre-shift sheet records that the operator looked. It doesn't tell the maintenance lead that the hoist in the shop missed its August monthly, or that the jib crane's annual is due next month. The workbook keeps that in two more tabs.

Inspection Log. One row per inspection: pre-shift, monthly, periodic or annual, or a repair, with the inspector and PASS or FAIL. A FAIL stays an OPEN DEFECT until the repair date is entered.

Crane Register. One row per crane or hoist. It reads the log, so the last monthly and the last periodic inspection fill themselves in, and a periodic inspection counts as that month's monthly too. The periodic interval comes from the Crane Types tab and defaults to 12 months; shorten it for heavy or severe service, which 1910.179(j) allows down to one month. Status reads OUT OF SERVICE while a defect is open, INSPECTION OVERDUE when either inspection is late, DUE SOON a week before the monthly or a month before the periodic, and IN SERVICE otherwise.

The periodic and annual inspections are the qualified inspector's job; the file keeps the dates and the evidence. For the rest of the site's lifting and handling equipment, the forklift inspection checklist works the same way, and the maintenance log template covers anything else on a service schedule.

Who uses a crane inspection checklist

Operators do the pre-shift check. Someone else has to know which inspections are due.

Manufacturing plants

Overhead cranes and hoists in every bay, each on its own periodic cycle.

Construction contractors

Mobile and tower cranes with shift, monthly, and annual inspections to document.

Steel service centers & fabricators

Heavy-service cranes where the periodic interval runs shorter than a year.

Maintenance shops

Jib cranes and chain hoists that get used every day and inspected rarely.

Warehouses & ports

Gantry cranes and monorails moving loads all shift.

Crane rental & service companies

Units going out to customers, inspected before they leave and when they come back.

The workbook is enough for a handful of cranes. Across several sites and inspectors, the log is only as current as whoever types it in.

Frequently Asked Questions

About crane inspections and the template

Is the crane inspection checklist free?

Yes. No cost, no subscription, no card. Enter your name and email and the Excel file downloads straight away.

Who can do the annual crane inspection?

For construction cranes, 1926.1412 requires a qualified person for the annual comprehensive inspection; the shift and monthly inspections are done by a competent person. For overhead cranes, periodic inspections are usually done by a qualified crane inspector or service company. The pre-shift check is the operator's.

Does it work for hoists and jib cranes?

Yes. Pick Monorail / hoist or Jib crane as the type; the checklist items for hooks, chain or rope, brakes, limit switch, and controls apply to them as well. Set the periodic interval on the Crane Types tab to match your program.

How often do cranes need to be inspected?

Overhead and gantry cranes under OSHA 1910.179 get frequent inspections at daily to monthly intervals and periodic inspections every 1 to 12 months, depending on use. Cranes in construction under 1926.1412 get an inspection every shift, a documented monthly inspection, and an annual comprehensive inspection by a qualified person.

What records does OSHA expect for crane inspections?

For overhead cranes, 1910.179(j) asks for a monthly certification record on hooks and hoist chains with the date, the inspector, and the equipment. For construction cranes, 1926.1412 asks for the monthly and annual inspections to be documented and kept for a set period. The Inspection Log in this file holds those entries in one place.

What happens when a crane fails an inspection?

It comes out of service and is tagged until it is repaired. In the workbook, a FAIL in the Inspection Log shows the crane as OUT OF SERVICE on the register until the repair date is entered.
